HOW TO BOOK AND CONFIRMATION OF RESERVATIONS
To make a reservation simply telephone our office (Monday to Friday 08:30-17:00) or visit our website. You can check availability by emailing us (email@example.com) or phone our office. At the time of booking you are agreeing to our terms and conditions as set out below.
No booking can be confirmed until a deposit (selected tours only) or full balance is paid. Credit or debit card payment can secure a booking immediately.
We work in line with the Data Protection Act 2018 and GDPR. As part of our terms and conditions of booking you agree to our Policy regarding this. Our Data Protection and privacy statement can be found on its own page
IF WE CANCEL YOUR TOUR
It is necessary for there to be a minimum number of passengers in order to operate a tour. If this minimum number is not achieved before the departure the tour could be cancelled. The management set our internally what the minimum numbers for tour are and reserve the right to change this at any time.
In certain circumstances, therefore, we may cancel your tour and if this should occur we would return to you all the money you have paid to us, or offer a suitable alternative. Prospect Coaches is liable only for any money you may have paid to us at the time of cancellation.
EXCURSIONS & FACILITIES
We reserve the right to cancel any optional excursions due to low numbers. Due to regulations governing driving hours it may be necessary to alter the order of excursions or cancel excursions. Optional excursion prices are subject to alteration if costs involved are changed.
Please remember that some amenities (e.g. Theme Park rides) require servicing and cleaning and may not therefore be available at all times. Some services may be affected by weather conditions and their availability is entirely at the discretion of the provider of the service.
MEDICAL CONDITIONS & ACCESS
Please ensure that you discuss all requirements with a member of our Reservations Team prior to booking. Should you or a member of your party have any medical condition or disability that may affect your day excursion or that of any other passenger, you must provide full details to us at the time of booking so that we can advise the suitability of the day excursion. Please also factor any medical conditions that may affect the use of rides etc.. at theme parks or other aspects of your tour.
On very local tours I.E Stratford & Wellesbourne Market it may be possible for us to operate a tour with a wheelchair accessible coach. This must be pre booked with our office prior to travel. On all other tours our coaches have a step entrance. All our coaches are fitted with a kneeling function to ease the boarding process. Our crew can assist with boarding the vehicle, please ask for assistance. Please note that if you have mobility issues and you would like the front seats this must be booked in line with our other conditions and at a supplementry price.
Children are welcome on all prospect tours unless stated on the tour page on our website. Child ticket options are available on most tours. The age group for a child ticket is up to 16. Infants and small children are required to have a seat booked for them. Child seats are welcome on our coaches but arent required by law. Many of our coaches feature 3 point seat belts and a number feature All Age Belts. It is the responsibility of parents or guardians to ensure that your child seat belt is fastened at all times and to supervise the use of any on board facilities on our vehicles. To Make a booking with us you must be over 18 years old.
Approximately one week prior to your departure you will receive final confirmation and tickets which will detail you pick up time and boarding point.
PICK UP & RETURN TIMES
Please note we cannot delay any departure due to late arrivals at pick-up points. Remember there are often long periods of coach travel. Early departures are often required to meet reasonable arrival times. Please arrive 10 minutes early to your stated pick up time. We also remind all customers to take note of the return time given to you by your driver of any services stops. Coaches cannot be delayed due to late returns.
You will be allocated a seat number at the time of booking which will be provisional. You final seat number will be confirmed by your coach crew upon boarding. To guarantee your seats why not request the front seats for an additional £3 per seat?
Due to certain vehicle types seating plans may change when we produce your travel ticket/ final confirmation
Where possible we will always try to meet any requests made.
We charge a £3 supplement per person for front seat requests.
Parking is not permitted at our offices. A Number of our joining points have nearby parking. Please speak to a member of our team who can provide further information.
All of our tour coaches have comfortable reclining full or part leather seats, FREE WIFI and air conditioning. We do however reserve the right to use standard vehicles on selected tours. We may also use a standard vehicle or smaller vehicle on feeder coach services.
We reserve the right to sub-contract coaches at any time and the specification and facilities may differ to that detailed in our marketing or Website. When operating low loaded tours it may be necessary to use smaller vehicles.
Seat belts are fitted to all of our vehicles and by law you must ensure you always wear your seat belt. Parents or guardians are responsible for ensuring anyone under 16 has their seat belt securely fastened.
On some of our vehicles there may be additional facilities including USB power sockets, all age belt seat belts, hot & Cold drink facilities and monitors.
Our music is licensed by the Performing Rights Society.
DRIVER AND COURIER
Gratuities are not included for your driver and courier and this is at your own personal discretion.
LUGGAGE AND HEALTH & SAFETY ISSUES
Please ensure all luggage is safely stowed on our vehicles ensuring that it does not block any entrances, exits or gangways.
Remember, our Driver has to lift luggage by Hand. Therefore only a maximum weight of 18 kilograms per passenger will be allowed.
It is the Clients responsibility to ensure that luggage is loaded onto all coaches. All items are carried at the owners risk. We do not accept liability for damaged and lost Luggage. Never leave luggage unattended.
We suggest Luggage Labels to all items.
Any Luggage claim should be pursued with your travel insurance provider.
You are welcome to make purchases on your tour and for us to carry any items as long as it fits in with the specified details above.
On our European tours we advise customers to check luggage restrictions with us at the time of booking. Any purchases in Europe must comply with custom rules when returning back to the UK.
FOOD & DRINKS ONBOARD
Please note for safety reasons all drinks should have a safety lid on if brought onto our coaches. On selected tours we do offer an on-board drinks service (buy on board) however reserve the right to cancel this at any point. Hot food is not permitted on-board any of our coaches unless served by your crew.
Most of our tour Coaches are fitted with CCTV Cameras. These record both images and sound for the added safety and security of our passengers and crew. These can be used for crime prevention and the prosecution of criminals.
We do not accept liability for any personal items left on board our Coaches including at Service stops.
Passengers should note that we have no direct control over ticket allocation on tours which include admission. Therefore on odd occasions ticket allocation may require parties to be split. Please note that Ticket Face Value may be different to prices paid by the Company.
At the time of your booking you will receive confirmation and invoice. We will send out your travel tickets 7 days prior to departure. Please note on our European tours you must be in possession of a paper ticket in order to travel.
Please note that a passport is required for any of our European tours (excluding Ireland). As part of our terms and conditions at the time of booking you are accepting that you are is possession of the correct documents to travel aboard.
We require details of your passport prior to travel. If upon boarding the vehicle your doucments are not valid or correct we may cancel your booking without refund.
DESTINATION DEVELOPMENT & DESTINATION FACILITIES
With certain tours which may visit studios or theme parks etc. we will do our best to advise what facilities will be operational. Always check the unique tour page on our website for further details. We will not offer any full or part refunds if rides are closed except for exceptional circumstances at our discretion. Changes can happen very quickly and we will try to advise you where possible.
It is a firm company policy that passengers are set down at their original joining points only. We offer at least 11 joining points on every tour with additional joining points on selected tours. If there is a group of 10 or more we may offer special pick up arrangements, please speak to our office team.
PAYMENT BY CREDIT CARD
Debit or Credit card transactions are our preferred method of payment. Card payments can be made through our website or over the phone. You can also make balence payments using a debit or credit card on your online account.
PAYMENT BY CHEQUE
When making any payment by cheque, please write the name of the person and the booking reference number on the back of the cheque. Cheques should be made payable to Prospect Coaches (West) Limited.
PAYMENT BY CASH
We only accept cash payments in person at our offices in Lye. Please do not post any cash to us.
At our discretion we may offer the option of a deposit payment. The company reserve the right to amend this policy at any time without notice. All depsoits are non refundable
For studio tours deposit payments are £20 per person and full balence is due 1 month prior to departure.
For our European tours deposit payments are £20 per person and full balence is due 6 weeks prior to departure.
Any refunds are at the discretion of the management of Prospect Coaches (West) Limited. Refunds are not available on tickets that include entry to attractions or involve european travel if the reund is requested within 36 days of the departure. We do not currently charge a cancellation fee, however any deposits are non refundable. Tickets can be amended only prior to travel by contacting our office.
ERRORS AND OMISSIONS
Whilst every effort is made to ensure the accuracy in the compilation of any marketing errors and omissions may occur. Before making a reservation please confirm prices and details with our office. Please also view a full printed itinerary of each tour before making a reservation. Please also ensure that your details are correct on any travel doucments

CONDITIONS OF CARRIAGE
The Public Service Vehicle (Conduct of drivers and passengers) Regulations as amended in 1990, apply to all coaches we operate.
CONSUMPTION OF ALCOHOLIC BEVERAGES ON BOARD
The consumption of Alcohol on any Prospect vehicle is strictly prohibited.
Please be aware that the centre steps leading to the toilet and exit are quite steep and protrude into the main gangway. All clients are advised to be extra cautious.
Please do not use Coach Toilets unless on a Motorway journey and safe to do so and never when standing or on normal roads and or manoeuvring.
